Birthday offers for salon clients: 9 ideas and what they cost you

Does a birthday gift always have to be a discount? Not at all. A small extra with a treatment, or an offer that fits your services, can be worth more to a client and often costs you less. You want to give something appealing without repeating the same discount every time. Below you will find nine ideas, a worked example with real amounts that shows what each idea costs and when it pays back, and a simple routine to plan the offer.

Nine birthday offers that do not rely on discounts

Birthday offers for salon clients: 9 ideas that suit your salon

A regular client often values a sincere greeting more than a discount on a treatment she would have booked anyway. An offer like this fits into loyalty programmes, but it does not need to become a complicated points system. Pick a form that suits your treatments, your available time and your stock:

1. A personal greeting. A short, sincere message with no perk attached. 2. A small gesture in the salon. A modest extra that is easy to have ready. 3. An extra step in a treatment. A short care step. Decide beforehand how much time it takes. 4. A product perk. A benefit on a product that suits the treatment. Watch your purchase price and stock. 5. A taste of another treatment. A small add-on from another service you offer. 6. A perk on the next appointment. Valid within a clear period, with the limits stated. 7. A treat at a quieter time. Tie it to the quiet hours so you do not add pressure at peak times. 8. A choice of two gestures. For example a product perk or a small treatment add-on. 9. A greeting with personal advice. A tip for home care.

What does a birthday offer cost? A worked example

Work out what an offer costs per client before you start. Take a colour treatment at €85, a calendar that earns €60 per hour and a shampoo at €18 with a purchase price of €9. Then fill in your own prices.

- 20% off the treatment: 20% of €85 = €17 per client. - An extra care step of 10 minutes: 10 minutes is one sixth of an hour, so €60 / 6 = €10. With about €1.50 in materials that is €11.50 per client. - 15% off the shampoo: 15% of €18 = €2.70 per client. Your margin on that bottle drops from €9 to €6.30.

Compare that with what one extra €85 appointment brings in. With the discount, that appointment pays back after 5 clients (5 × €17 = €85). With the extra step you can serve 7 clients (7 × €11.50 = €80.50); the eighth takes you to €92, above the €85. With the product perk you can serve 31 clients (31 × €2.70 = €83.70).

These are maximum costs, assuming every client uses the offer. Clients who would have come anyway count as pure cost. The offer only pays off if it brings in an appointment that would not otherwise have happened. If the client pays online or by card through Salonnare, 0.5% (min. €0.30) is deducted: on the discounted €68 that is €0.34.

How to organise the offer in four steps

A fixed routine makes a birthday offer easier to plan and to judge:

1. Set the goal and the offer. Do you want to show appreciation, encourage a repeat visit or draw attention to a treatment? Write down the conditions straight away, such as the validity period and whether it can be combined with other offers. 2. Choose the audience. Collect only the data you need. Use a date of birth for marketing only with consent and make unsubscribing easy. 3. Plan the communication. Decide when the greeting goes out and who sends it. Keep the text personal and the conditions clear. 4. Evaluate the offer. Count how many clients responded, booked or used the offer and compare that with the costs from the worked example.

Frequently asked questions

Does a birthday offer for salon clients have to be free?

No. You can send a greeting without a perk, or tie an offer to an appointment the client books herself. Put the conditions in the message so the client knows beforehand what to expect.

How do you stop a birthday offer from squeezing your margin?

Map out the direct costs and the extra treatment time beforehand, as in the worked example above. Limit the offer to certain treatments or moments and compare the use with the effort afterwards.

May I email clients on their birthday?

Only clients you are allowed to contact for this. Use a date of birth for marketing with consent, keep the message personal and respect a request to stop receiving messages.

When do you send a birthday offer?

Pick a moment when the client has enough time to book and your salon can deliver the offer well. Match the sending moment to the validity period and state clearly when it ends.
